Terms & Conditions / Participant Waiver

1. Definitions

For the purposes of these Terms & Conditions/ Participant Waiver: 

Community Traverse refers to Community Traverse Ltd, the organiser of the Event. 

Event means any race, challenge, expedition or activity organised or operated by Community Traverse. 

Participant means the individual who has registered for the Event. 

Race Director means the person appointed by Community Traverse with overall responsibility for the safe operation of the Event. 

Event Officials include Race Directors, marshals, checkpoint staff, volunteers, medical personnel and any individual acting on behalf of Community Traverse. 

Support Crew means any family member, friend, pacer or person providing assistance to a Participant during the Event. 

By registering for an Event, the Participant agrees to be bound by these Terms & Conditions / Participant Waiver. 

2. Introduction

Community Traverse organises long-distance endurance events that take place in remote, mountainous, coastal and rural environments. 

Participation involves prolonged physical exertion, variable weather conditions and natural hazards that cannot be completely eliminated. 

Our events require participants to be self-sufficient, capable of making sound decisions in challenging environments and willing to accept personal responsibility throughout the Event. 

These Terms & Conditions / Participant Waiver form the agreement between Community Traverse and every Participant. 

3. Eligibility

Unless otherwise stated on the individual Event page, Participants must: 

  • Meet the minimum age requirement for the Event.  

  • Meet any experience or qualification requirements published for that Event.  

  • Be physically and mentally capable of safely completing the challenge.  

Community Traverse reserves the right to request evidence of previous experience, race results or other relevant information before accepting or confirming an entry. 

Participants may also be asked to provide photographic identification during registration. 

Community Traverse reserves the right to refuse or cancel an entry where: 

  • Eligibility requirements have not been met.  

  • False or misleading information has been provided.  

  • Entry would present an unacceptable safety risk.  

  • The Participant has previously demonstrated behaviour likely to compromise the safety, integrity or reputation of the Event.  

Where an entry is refused before the Event for reasons unrelated to misconduct or false information, Community Traverse will determine any refund in accordance with the Event Refund Policy and applicable consumer law. 

4. Entry & Registration

By submitting an Event entry, the Participant confirms that: 

  • All information supplied is accurate.  

  • Emergency contact details are current.  

  • Medical information has been disclosed honestly.  

  • They have read these Terms & Conditions.  

  • They agree to comply with all Event Rules and instructions issued by Community Traverse.  

Entries are personal and may not be transferred without prior written approval from Community Traverse. 

Participants found to have transferred, sold or exchanged their place outside the official transfer process may be refused permission to start or may be disqualified. 

Community Traverse reserves the right to verify the identity of Participants at registration. 

Race numbers remain the property of Community Traverse and must not be altered, duplicated or transferred. 

5. Assumption of Risk

The Participant understands and accepts that endurance events involve inherent risks that cannot be completely eliminated. 

These include, but are not limited to: 

  • Serious injury.  

  • Permanent disability.  

  • Death.  

  • Falls on uneven or technical terrain.  

  • Slips on mud, rock or unstable ground.  

  • Navigation errors.  

  • River crossings.  

  • Traffic on public roads.  

  • Livestock and wildlife.  

  • Falling rocks or branches.  

  • Exposure to heat, cold, wind, rain or lightning.  

  • Physical exhaustion.  

  • Sleep deprivation.  

  • Dehydration.  

  • Hyponatraemia.  

  • Equipment failure.  

  • Delays in emergency assistance due to remote locations.  

The Participant voluntarily accepts these risks and acknowledges that participation is entirely at their own risk. 

Nothing within these Terms excludes liability where it cannot legally be excluded. 

6. Medical & Fitness Declaration

By entering the Event, the Participant confirms that: 

  • They are physically and mentally fit to participate.  

  • They have adequately prepared for the Event.  

  • They understand the physical demands involved.  

  • They are capable of completing the Event safely.  

Participants must disclose any medical condition, allergy or medication that may reasonably affect their participation or the medical treatment they may require during the Event. 

Participants are responsible for ensuring that this information remains accurate and must notify Community Traverse if anything changes before the Event. 

Participants are responsible for carrying any medication they may require during the Event. 

Community Traverse strongly recommends that Participants seek medical advice before entering any endurance event where appropriate. 

The Participant accepts full responsibility for determining whether they are medically fit to participate. 

7. Medical Assistance

The Participant authorises Event medical personnel to: 

  • Assess their condition.  

  • Administer appropriate first aid.  

  • Arrange evacuation where necessary.  

  • Arrange transport to hospital.  

  • Share relevant medical information with emergency services where required.  

Where the Participant is unconscious or otherwise unable to make an informed decision, Community Traverse will act in the Participant's best interests based upon the information available at the time. 

The Participant remains responsible for any personal medical expenses that are not covered by public healthcare or their own insurance. 

8. Participant Responsibilities

Every Participant is responsible for: 

  • Their own navigation.  

  • Their own safety.  

  • Their own decisions.  

  • Their own pacing.  

  • Their own hydration.  

  • Their own nutrition.  

  • Monitoring their own physical and mental condition.  

Course markings, GPX files, signage and marshal directions are provided as navigational aids only. 

The Participant remains responsible for navigating the official route at all times. 

Participants must exercise caution whenever crossing roads, railways, rivers or any other natural or man-made hazard. 

Instructions from Event Officials must be followed at all times. 

Participants must immediately report: 

  • Serious injuries.  

  • Missing Participants.  

  • Dangerous hazards.  

  • Situations that could place others at risk.  

9. Mandatory Kit

A Mandatory Kit List will be published before each Event. 

The Mandatory Kit forms part of these Terms & Conditions / Participant Waiver. 

Participants must: 

  • Carry all Mandatory Kit throughout the Event.  

  • Present their kit for inspection whenever requested.  

  • Ensure all equipment is functional and suitable for the conditions.  

  • Replace damaged or unusable equipment before continuing.  

Community Traverse reserves the right to: 

  • Conduct random kit inspections.  

  • Update the Mandatory Kit List before the Event where conditions require.  

  • Refuse permission to start if Mandatory Kit requirements have not been met.  

  • Withdraw or disqualify Participants who fail to carry Mandatory Kit during the Event.  

Any sanction applied will be proportionate to the seriousness of the breach and the associated safety risk. 

10. Race Director Authority

The Race Director has absolute authority over the safe operation of the Event. 

In the interests of participant safety, the Race Director may, at any time: 

  • Alter the route.  

  • Introduce diversions.  

  • Change checkpoint locations.  

  • Amend cut-off times.  

  • Suspend or pause the Event.  

  • Delay the start.  

  • Cancel the Event.  

  • Withdraw individual Participants.  

  • Modify Mandatory Kit requirements.  

  • Restrict access to parts of the course.  

  • Introduce additional safety measures.  

The Race Director may remove any Participant considered unable to continue safely due to injury, illness, fatigue, equipment failure, environmental conditions or any other circumstance affecting participant welfare. 

All Race Director decisions made during the Event regarding safety and Event operations are final. 

11. Cut-Off Times

Cut-off times are introduced to ensure the safe operation of the Event and the welfare of all Participants, volunteers and Event Officials. 

Participants must reach each checkpoint before the published cut-off time unless otherwise authorised by the Race Director. 

Community Traverse reserves the right to amend cut-off times before or during the Event where circumstances require, including but not limited to: 

  • Severe weather  

  • Safety concerns  

  • Route alterations  

  • Medical incidents  

  • Operational requirements  

Participants who fail to reach a checkpoint before the designated cut-off time may be withdrawn from the Event. 

Participants instructed to retire by the Race Director or Event Officials must do so immediately. 

12. Withdrawal & Retirement

A Participant may voluntarily retire from the Event at any time. 

Participants who withdraw must: 

  • Inform the nearest Event Official or checkpoint immediately.  

  • Return any Event equipment issued to them where instructed.  

  • Ensure they have been formally accounted for before leaving the Event.  

Failure to notify Community Traverse of retirement may result in emergency search procedures being initiated. 

Where emergency services are deployed because a Participant failed to notify the organiser of their retirement, Community Traverse reserves the right to recover any reasonable costs incurred where legally permissible. 

Participants who continue after withdrawing, missing a cut-off or being instructed to retire are no longer considered official Participants and continue entirely at their own risk. 

13. GPS Tracking & Event Equipment

Where provided, Participants must carry the official GPS tracker throughout the Event. 

Participants agree to: 

  • Carry the tracker as instructed.  

  • Ensure it remains switched on where applicable.  

  • Return the tracker immediately upon retirement or completion.  

  • Take reasonable care of all Event equipment.  

Community Traverse cannot guarantee uninterrupted GPS coverage or tracker functionality due to environmental conditions or technical issues. 

Participants remain responsible for their own navigation and safety regardless of tracker performance. 

Participants may be charged the reasonable replacement or repair cost of any tracker or Event equipment that is lost, damaged through misuse or not returned. 

14. Support Crews, Pacers & Outside Assistance

Support Crews are welcome where permitted by the individual Event Rules. 

Participants are responsible for ensuring that their Support Crew understands and complies with all Event Rules. 

Community Traverse may designate locations where support is permitted and locations where support is prohibited. 

Support Crews must: 

  • Follow instructions given by Event Officials.  

  • Park responsibly.  

  • Respect local residents and landowners.  

  • Avoid obstructing roads, trails or checkpoints.  

  • Conduct themselves respectfully at all times.  

  • Keep noise to an absolute minimum in residential areas, particularly during quiet hours between 10:00pm and 7:00am.

Participants may only receive outside assistance where expressly permitted by the Event Rules. 

Support runners, pacers or cyclists are not permitted unless specifically authorised by Community Traverse. 

Failure by a Participant or their Support Crew to comply with these requirements may result in warnings, time penalties, disqualification or refusal of entry to future Events. 

15. Participant Conduct

Participants are expected to conduct themselves respectfully throughout the Event. 

The following behaviour may result in disciplinary action: 

  • Aggressive, abusive or threatening behaviour.  

  • Harassment of Participants, volunteers or Event Officials.  

  • Deliberate damage to property.  

  • Failure to follow reasonable instructions.  

  • Dangerous behaviour.  

  • Cheating.  

  • Unsporting conduct.  

  • Bringing the Event into disrepute.  

  • Keep noise to an absolute minimum in residential areas, particularly during quiet hours between 10:00pm and 7:00am.

Community Traverse operates a zero-tolerance approach towards abuse directed at volunteers, medical staff or Event Officials. 

Participants must not compete whilst under the influence of alcohol, illegal drugs or any substance that significantly impairs their ability to participate safely. 

Community Traverse reserves the right to withdraw any Participant considered unsafe to continue. 

16. Race Rules & Fair Competition

Participants must follow the official route unless directed otherwise by Event Officials. 

Deliberately taking shortcuts or deviating from the course to gain an advantage is prohibited. 

It is mandatory that you do not leave a person in difficulty on their own.

Participants must not: 

  • Receive unauthorised assistance.  

  • Exchange race numbers.  

  • Impersonate another Participant.  

  • Interfere with Event equipment.  

  • Obstruct another Participant.

Accidental route errors should be corrected as soon as reasonably possible. 

Community Traverse reserves the right to investigate suspected breaches both during and after the Event. 

Where evidence of cheating becomes available after the Event, Community Traverse reserves the right to amend results or disqualify a Participant. 

17. Environmental Responsibility

Community Traverse is committed to protecting the environments in which our Events take place. 

Participants must: 

  • Leave no trace.  

  • Carry all litter until an appropriate disposal point.  

  • Respect wildlife and livestock.  

  • Respect landowners and local communities.  

  • Follow the Countryside Code and any local access restrictions.  

  • Stick to hard & sustainable surfaces/avoid damaging delicate habitats/avoid creating ‘new lines’.

Deliberate littering, environmental damage or behaviour likely to jeopardise future access agreements may result in immediate disqualification. 

18. Photography, Media & Live Tracking

Community Traverse may photograph, film or otherwise record Participants throughout the Event. 

By entering, Participants consent to Community Traverse using photographs, video, audio and other media featuring them for promotional, editorial and marketing purposes across print, websites, social media and other digital platforms without compensation. 

Where live GPS tracking is provided, Participants acknowledge that their location may be visible to Event Officials, spectators, supporters and members of the public during the Event. 

Event results may include: 

  • Name  

  • Age category  

  • Club (where applicable)  

  • Finish times  

  • Overall placing  

19. Privacy & Data Protection

Community Traverse processes personal information for the purposes of: 

  • Event administration.  

  • Participant safety.  

  • Emergency response.  

  • Medical treatment where necessary.  

  • Timing and results.  

  • Live tracking.  

  • Legal and regulatory compliance.  

Personal information will be processed in accordance with Community Traverse's Privacy Policy and applicable UK data protection legislation. 

Medical information will only be shared where reasonably necessary to protect the health or safety of the Participant. 

20. Refunds, Transfers & Deferrals

Community Traverse acknowledges physical recovery time needed postpartum and offers pregnant women a deferral for up to 2 years or a complete refund. Participants who fall pregnant prior to one of our events should contact Community Traverse to request the most appropriate option for your individual circumstances.

Unless otherwise stated, Event entries are non-refundable. 

Optional refund protection may be available through Community Traverse's chosen third-party provider at the time of booking. Any claims made under such protection are subject to the provider's own terms and conditions / Participant waiver. 

Transfers or deferrals may be offered at the discretion of Community Traverse and are not guaranteed. 

Transfer or deferral requests must be submitted within the timeframe specified for the relevant Event. 

Community Traverse accepts no responsibility where a Participant is unable to attend due to illness, injury, work commitments, travel disruption or other personal circumstances. 

21. Event Changes & Force Majeure

Community Traverse reserves the right to amend, postpone, suspend or cancel an Event where necessary. 

This may include circumstances beyond our reasonable control, including but not limited to: 

  • Severe weather.  

  • Flooding.  

  • Wildfire.  

  • Public health emergencies.  

  • Government restrictions.  

  • Landowner requirements.  

  • Safety concerns.  

  • Failure of essential infrastructure.  

  • Any circumstance that, in the reasonable opinion of the Race Director, would compromise the safe operation of the Event.  

Where reasonably possible, Community Traverse will seek to offer an alternative date or suitable solution. 

Reasonable alterations to routes, checkpoints or Event format made in the interests of participant safety shall not constitute cancellation of the Event. 

22. Insurance

Participants are responsible for ensuring they have appropriate insurance where required. 

Community Traverse strongly recommends that Participants consider personal accident, medical and travel insurance appropriate to the nature of the Event. 

Community Traverse's insurance arrangements do not replace a Participant's responsibility for arranging suitable personal cover where desired. 

23. Liability

Participation in a Community Traverse Event is entirely voluntary. 

Participants acknowledge that endurance events involve inherent risks that cannot be completely eliminated despite careful planning, experienced event management and appropriate safety measures. 

To the fullest extent permitted by law: 

  • Participants take part entirely at their own risk.  

  • Community Traverse accepts no liability for injury, illness, loss, damage or expense arising from participation except where liability cannot legally be excluded.  

  • Participants remain responsible for their own actions, decisions and personal safety throughout the Event.  

  • Community Traverse accepts no responsibility for loss, theft or damage to personal belongings or equipment brought to the Event.  

Nothing within these Terms & Conditions / Participant waiver excludes or limits liability for death or personal injury caused by negligence, fraud or any other liability that cannot legally be excluded. 

24. Lost Property

Participants are responsible for their own equipment and personal belongings throughout the Event. 

Community Traverse will make reasonable efforts to reunite Participants with lost property recovered during the Event but accepts no responsibility for loss or damage to personal possessions. 

Items not claimed within a reasonable period may be disposed of or donated. 

25. Complaints & Appeals

Community Traverse aims to operate Events fairly, consistently and transparently. 

Race Director decisions made during the Event in relation to participant safety and operational matters are final and must be complied with immediately. 

Participants wishing to challenge a decision or submit a formal complaint after the Event should do so in writing within seven days of the Event. 

Complaints should include: 

  • Participant name.  

  • Event name.  

  • Details of the matter being raised.  

  • Supporting evidence where available.  

Community Traverse will review the matter and provide a written response within a reasonable period. 

Submitting a complaint does not suspend any decision made during the Event. 

26. Disciplinary Action & Future Participation

Community Traverse reserves the right to issue warnings, time penalties, withdrawals, disqualifications or refuse future Event entries where a Participant: 

  • Breaches these Terms & Conditions / Participant waiver.  

  • Deliberately disregards Event Rules.  

  • Acts dishonestly.  

  • Cheats.  

  • Endangers themselves or others.  

  • Behaves abusively towards Participants, volunteers, medical personnel or Event Officials.  

  • Damages Community Traverse's reputation or relationships with landowners, local communities or partner organisations.  

Community Traverse may also review incidents brought to its attention after the Event has concluded. 

Where appropriate, Community Traverse reserves the right to refuse entry into future Events. 

27. Amendments

Community Traverse reserves the right to update these Terms & Conditions / Participant waiver where necessary. 

The most current version published on the Community Traverse website shall apply to all future Event entries. 

Participants will be notified where material changes affect an Event for which they have already registered. 

28. Governing Law

These Terms & Conditions / Participant waiver shall be governed by and interpreted in accordance with the laws of England and Wales. 

Community Traverse Ltd is a company registered in the United Kingdom. 

Any dispute arising in connection with these Terms & Conditions / Participant waiver shall be subject to the exclusive jurisdiction of the courts of England and Wales unless applicable law provides otherwise. 

29. Severability

If any provision of these Terms & Conditions / Participant waiver is found to be unlawful, invalid or unenforceable, the remaining provisions shall continue in full force and effect. 

The invalid provision shall, where possible, be interpreted so as to achieve the original intention whilst remaining legally enforceable. 

30. Acceptance

By registering for a Community Traverse Event and selecting the acceptance checkbox during the booking process, the Participant confirms that they: 

  • Have carefully read these Terms & Conditions / Participant Waiver.  

  • Understand the risks associated with participation.  

  • Accept full responsibility for their participation.  

  • Agree to comply with all Event Rules and instructions issued by Community Traverse.  

  • Consent to the processing of their personal information in accordance with the Community Traverse Privacy Policy.  

  • Agree to be bound by these Terms & Conditions / Participant waiver.  

Registration for an Event constitutes acceptance of these Terms & Conditions / Participant waiver.
